Procurement FAQ

Questions districts actually ask.

+Do you offer net-30 or PO billing?

Yes. We invoice on PO with net-30 terms by default for US and Canadian public school districts and service centers. W-9 and Canadian BN provided on request.

+Is there a multi-year discount?

Yes — 10% off year two and 15% off year three when committed up front on a single PO. Price is locked for the term of the contract.

+What's the cancellation and refund policy?

Cancel any time before the start of your next fiscal year for a full refund of the unused portion. Mid-year cancellations are pro-rated to the next quarter.

+What's included at renewal — is the price locked?

Annual price increases are capped at CPI or 3%, whichever is lower, for the life of the relationship. Renewal pricing is sent 90 days before your fiscal year ends.

+How does a tabletop walkthrough actually run? What do we get?

A 90-minute facilitated session with district IT, the superintendent, comms lead, and trustee liaison. You pick the scenario; we run the clock, prompt decisions, and send a written after-action with gaps and owners within five business days.

+Can our co-op, BOCES, or ESC negotiate per-LEA pricing?

Yes. Co-op contracts are priced per member LEA on a tiered scale and can ride existing NASPO ValuePoint or state co-op paperwork.

+Do you have a sole-source justification template?

Yes — see /procurement for the sole-source memo, W-9, BN, and the redacted MSA. We sign DPAs (SOPPA, NY Ed Law 2-d, Texas HB 18, California SOPIPA) on request.

+What happens to our data if we cancel?

We delete district-identifying data within 30 days of cancellation and confirm in writing. Templates and after-action documents stay with you — they're yours.
